Client meetings at scale
Four hundred meetings move as one programme.
A roadshow looks like one line in the calendar. It is four hundred separate meetings, each with a guest, a room and a time that all have to agree.
One of them moves on Tuesday morning, and somebody has to work out what else just broke.
K. Sorensen's arrival moves by 90 minutes, and every meeting that depends on it is surfaced at once: six, between 09:00 and 12:30, as one set.
Rooms, guests and the other host's day are attached to the same set, so the resolution is decided once, not worked out six separate times.
Apply the new times, and every guest's personal itinerary and calendar invite updates from that single change. Nobody sends nineteen emails.
Move one meeting and everything depending on it moves with it.
Run the programme as one object, and the four hundred meetings look after each other.
The programme takes shape
Cities, dates, hosts and capacity, set once, as one programme.
Matching
Investors against hosts against slots: the many-to-many grid a spreadsheet cannot hold.
Confirmation out
Each participant receives their own schedule, not the programme's. One send, eighty-six personal versions.
Something moves
A host's flight is late. Everything downstream surfaces as one set, and one authorised action resolves it.
The record
Every meeting, attendee and change, without anyone keeping the log.
Schedules land in Outlook calendars. Guests come from Clients & Contacts. Attendance and every change flow to Reporting.
The programme changed all week. Nobody had to be told twice.
