Transforming Legal Event Management with Eventogy

“Eventogy is built exactly the way law firms run events”

Linklaters is one of the most prestigious law firms in the world.

With global clients and a reputation for legal excellence, the firm runs a wide range of strategic events each year. These include high-end partner dinners, hybrid seminars, internal conferences, and client-facing forums. Each one must reflect the firm’s professionalism, consistency, and brand standards.

“Eventogy is built exactly the way law firms run events. It’s reliable, easy to work with, and integrates seamlessly with the systems firms already use. I would absolutely recommend it.”

Global consistency

Before adopting Eventogy, Linklaters managed events using separate tools, disconnected work- flows, and manual processes. The firm needed a platform that could support global consistency, integrate into their CRM, and elevate the client experience. Eventogy provided that solution.

Linklaters previously relied on a combination of spreadsheets, Outlook invites, printed check-in lists, mailings with simple RSVP landing pages and disconnected workflows.

This created inefficiencies and limited visibility across offices. Events were delivered with high care but with little data cohesion, which impacted data accuracy and made scaling the process more difficult.

Key challenges included;

Inconsistent client experiences between regional offices
Manual attendee tracking and lack of central visibility
Difficulty capturing event data in Salesforce
Limited control over branding, accessibility, and security
High administrative burden across teams
“Clients were checked in on site using a hard copy list and this data rarely made it back into the system of record.
We were losing track of our client interactions; this had to change.”
What would take multiple teams, from BD to legal secretaries hours to manage is now handled with a few clicks.
That’s not just time saved, it’s risk reduced and opens capabilities to our teams when looking at what works well to set precedence.

The platform needed to meet strict compliance requirements, integrate seamlessly with Salesforce, and deliver a modern, branded experience for clients across every channel.

Eventogy stood out for its:

CRM integration that ensured complete visibility across all client interactions
Consistent templates for invitations, microsites, and registration flows
Accessibility-compliant communications
Real-time check-in and on-site tracking
Responsive support and product development

Linklaters now manages its entire event lifecycle through Eventogy, from planning and invitations to guest tracking and post-event reporting.

The platform allows internal teams to collaborate more efficiently while ensuring every client-facing touchpoint is professional, compliant, and consistent.
CRM Integration

All registration and attendance data is synced directly with Salesforce. Eventogy has become an extension of the CRM, giving teams real-time access to event engagement data and supporting long-term relationship tracking.

Global Templates and Governance

With Eventogy, every event follows the same process regardless of region or team. Templates ensure consistent branding, data handling, and user experience. This supports both compliance and operational efficiency across all global offices.

Microsite and Email Builder

Event managers can now build branded microsites for each event, reducing the need for lengthy emails. These websites are mobile-optimized, easy to navigate, and fully accessible. They improve engagement and provide more control over how event content is shared.

Marketing

Whilst previously using a mailing platform for events marketing, Linklaters migrated all event management over to Eventogy to contain the entire events lifecycle in one place.

“We used to use a mailing platform to send our invitations, relying on simple RSVP processes, but it was always a bit of a compromise. That type of platform is fine for email marketing, but it doesn’t give you proper insight into the event lifecycle, or the best experience for our clients which it of the utmost importance. Eventogy gives us a full view, from invite to check-in to reporting, all in one place.”

Personal Send Workflow

Senior partners often prefer to invite high-valueclients directly. Eventogy allows them to send thesemessages from Outlook while still capturing RSVPand attendance data. This preserves the personalapproach without sacrificing visibility, structure ordata capture.

Modernizing Check-In and On-Site Security

One of the most impactful changes has been the move from printed attendee lists to the Eventogy Host App. Linklaters can now manage check-in digitally, with real-time visibility and complete integration into building security systems for internally held events.

Using the Host App:

Guests are checked in using QR codes or NFC technology
Attendance is updated instantly in Eventogy and Salesforce
Walk-ins are recorded and assigned badges on-site
Reception and facilities are notified in real time
Security teams know exactly who is in the building during every event
Now we know who is in the building at all times. That is not just operationally helpful, it is essential for safety and compliance.
Integrating Eventogy with our on-site registration platforms has reduced manual intervention when events are held within any of our offices and improved our security processes firmwide.
Accessibility matters. Whether someone is using a phone, a screen reader, or a laptop, we want the experience to be seamless.
Eventogy makes that possible as standard; as a result, our teams can focus on delivering unrivaled events for our clients.

Linklaters places a strong focus on accessibility and inclusion. With a global client base and diverse audiences, it is critical that every guest has the same ability to engage with event content.

Eventogy supports this with accessible design across all email and web templates.

Accessibility improvements include:

Microsites and emails designed for screen readers
Color contrasts and fonts that meet accessibility standards
Mobile-friendly layouts for ease of navigation
Internal testing to ensure consistency across devices and assistive technologies
Full WCAG 2.2 compliance

The platform will soon manage hundreds of thousands of contacts across every region and practice group.

New modules are under consideration to further enhance event strategy.

Planned developments include:

Further rollout of the Attendee App
Introducing the hospitality module for managing ticketed entertainment
Integrating budgeting and approvals into event workflows
We are just getting started. Eventogy gives us the structure and flexibility to scale while delivering at a consistent high standard for our clients.
